A role decides what someone can see and change, and everyone you invite gets exactly one. There are five, and the two differences that matter most are money and whose conversations you can read.

Manage everyone in Settings > Team.

The five

  • Owner. One per workspace. Everything, including billing, and the only role that can cancel the subscription.
  • Admin. Everything the Owner can do except cancel the plan. Sees and updates billing, configures your AI and integrations, manages the team.
  • Manager. Runs the team below Admin: invite, remove, change roles, but not an Owner or an Admin. Sees all conversations, manages tags, properties and macros. No billing at all, not even a view of it.
  • Agent. Handles the conversations assigned to them, and only those. Uses macros, manages tags. No billing, and no access to AI or integration settings.
  • Partner. For agencies working across several client workspaces, with configuration rights inside them and no billing access.

When you assign a role you can review what it allows before confirming, which is worth doing rather than working from memory.

Which role to actually give

Agent is narrower than people expect, and that is the single most useful thing on this page. An Agent sees the conversations assigned to them, not the whole inbox. So for someone new, part-time or outsourced, Agent is both the safe choice and the calm one: they get their own work and nothing else.

Manager is the one to be deliberate about. It is not a seniority badge, it is the ability to change other people's roles and see every conversation in the business. Give it to whoever actually runs the shift.

Admin for whoever needs to configure your AI and your integrations. In a small team that is often the same person as the Owner, and there is nothing wrong with that.

Owner stays with whoever owns the commercial relationship, because it is the only role that can cancel the plan.

Adding someone

In Settings > Team, add them by email and pick their role. They show as Invited until they accept, then Active.

They can sign in with an emailed magic link, which is the default, with a password, or with Google.

Changing a role

Change it directly. There is nothing to remove and re-invite.

Before it applies you see the new access rights, so you can check you are granting what you meant to. The person is told about the change.

The gating is what you would expect: an Admin cannot change the Owner, and a Manager cannot change an Owner or an Admin.

Working across workspaces

The switcher is always available, and if you belong to more than one you move between them without signing in again.

They are separate in the way that matters: from inside one you cannot see another's conversations, contacts, settings or search results. Nothing leaks between two workspaces you happen to belong to.
